Setting up a thermal printer for billing

A thermal printer is the cheapest, most reliable way to print bills — no ink, no ribbon, just a roll of heat-sensitive paper. Here is how to get one running with billing software.

58mm or 80mm?

58mm (2-inch) rolls are cheaper and fine for a small retail counter. 80mm (3-inch) fits more columns, prints faster, and suits restaurants and busy shops. Pick one and buy paper rolls to match.

Connection options

• USB — simplest for a single billing PC. Install the driver from the printer’s CD or website.
• LAN / Ethernet — best when two or more counters share one printer, or the printer sits away from the PC. Assign it a fixed IP.
• Bluetooth — for billing from a phone or moving tablet. Pair it in the device’s Bluetooth settings first.

Set it up in the software

1. Add the printer in your billing software’s print settings and choose the paper width (58 or 80mm).
2. Set it as the default receipt printer; keep an A4 printer as the default for GST invoices if you print those.
3. Add your shop logo, name, address, GSTIN and a footer line.
4. Turn on auto-cut and, if you have one, the cash-drawer kick.
5. Print a test bill and check margins and the UPI QR.

Common problems

• Blank paper — the roll is in upside down. Thermal coating faces the print head; if your nail scratches a mark, that side goes up.
• Half-width printing — wrong paper-width setting in the driver or software.
• Prints then stops mid-bill — USB power saving; disable “allow the computer to turn off this device” in Device Manager.
• Garbled characters — wrong printer emulation; set it to ESC/POS.

Yes, use a LAN (Ethernet) printer with a fixed IP and add that IP in each counter’s billing software.

Do thermal bills fade over time?

Yes, thermal print fades in months, faster in heat or sunlight. For records that must last, keep a digital copy or print key invoices on A4.
